Talent and Administration Manager Job Description

Role Summary

The Talent and Administration Manager reports to the People Director and partners with the Training Manager to ensure seamless coordination in talent and administrative functions. They are responsible for cultivating a "culture of care" through effective talent investment and administrative excellence. This includes recruiting, evaluating, selecting, onboarding, supporting, and offboarding team members while maintaining HR systems that reflect Chick-fil-A’s values. Additionally, the role encompasses key administrative tasks, including invoice processing, cost tracking, cash management, end-of-day reconciliation, and end-of-month financial reporting.

Expectations

  • Build and sustain a "culture of care" where team members feel valued, supported, and engaged.
  • Serve as a trusted partner to the People Director, Operator, and leadership team, providing insight on talent and administrative strategies.
  • Align talent investment strategies with the People Director’s broader team development goals.
  • Manage the full lifecycle of talent investment, including recruitment, onboarding, HR support, and offboarding.
  • Collaborate with the People Director to gather, analyze, and act on team member feedback to strengthen engagement and address HR challenges proactively.
  • Demonstrate exceptional organization and attention to detail in managing administrative tasks.
  • Proactively identify and address HR and administrative challenges.
  • Foster leadership development within the team to promote continuity and growth.
  • Support daily operations during peak sales periods by filling operational roles while maintaining leadership responsibilities to model the Chick-fil-A way, coach team members, and uphold Chick-fil-A standards.
  • Get results, hunger for wisdom, and increase personal leadership capacity.
  • Directly provide leadership, management, and accountability by leading shifts.

Primary Responsibilities

Talent Investment

  • Develop and execute strategies for recruiting and evaluating applicants to ensure alignment with Chick-fil-A’s culture and values.
  • Oversee the onboarding process, ensuring new team members are properly trained and integrated.
  • Support team members with HR-related needs, addressing concerns and fostering engagement.
  • Collaborate with the Training Manager to ensure onboarding aligns with ongoing training initiatives and Chick-fil-A standards.
  • Manage offboarding processes with professionalism and care, maintaining positive relationships with former team members.
  • Develop future leaders by mentoring team members and providing growth opportunities.

Administrative Excellence

  • Process invoices and track costs to ensure accurate financial records.
  • Manage cash handling procedures and reconcile daily transactions.
  • Review refunds, canceled transactions, and POS variances, ensuring accountability and accuracy.
  • Oversee end-of-day business processes, finalizing reports and resolving discrepancies.
  • Support end-of-month processes, including inventory counts, accounts receivable, invoice reconciliation, and sales accuracy.
  • Maintain the office, team training room, technology closet, manager station, and other administrative areas to reflect a clean, organized, and professional environment, showcasing meticulous attention to detail and operational excellence.

Primary Tasks

Daily

  • Review and finalize daily business reports, ensuring all transactions are accurate and complete.
  • Address team member HR inquiries and provide guidance as needed.
  • Track and monitor cash handling, refunds, canceled transactions, and other point-of-sale (POS) keystrokes for accuracy.
  • Check regular mail, email and voicemail, action, and forward to the appropriate recipient.
  • Review applications for open positions and minimize the time from application to hire for highly qualified applicants.

Weekly/Bi-Weekly

  • Conduct interviews, manage applicant evaluations, select, and onboard new team members.
  • Meet with leadership to discuss team member engagement and administrative updates.
  • Audit financial records for consistency and accuracy.
  • Audit POS keystroke, security, discount, and employee meal reports for accuracy. 
  • Input invoices from vendors. Verify which vendors are paid on the business credit account and which are via check before submitting and sending out payment.
  • Own, clean, organize, and improve the restaurant office to ensure a high efficiency work environment. 

Monthly/Quarterly

  • Oversee end-of-month processes, including inventory counts, invoice reconciliation, and financial reporting.
  • Review team member performance, conduct formal evaluations, and discuss opportunities for growth.
  • Send out monthly reminders of policies, requirements, or changes to the team with the assistance of the Training Director. (i.e. cash management procedures, inclement weather process, etc.)
  • Analyze administrative trends to identify opportunities for efficiency improvements.
  • Conduct audits on team member employee files to ensure they are up-to-date and accurate.

  • Recruitment and onboarding processes consistently yield high-quality team members aligned with Chick-fil-A’s values.
  • Administrative systems are well-organized, accurate, and support smooth daily operations.
  • Financial processes, including cash management and end-of-month reporting, are completed accurately and on time.
  • The Talent and Administration Manager’s leadership fosters a high-performing, collaborative culture aligned with Chick-fil-A Forsyth’s mission of "Connecting with Excellence."

Key Performance Indicators (KPIs)

  • Retention rate of 56% or higher for team members.
  • Recruitment cycle time exceeds industry benchmarks, ensuring timely hiring of quality candidates.
  • Financial discrepancies, including POS variances, are kept below benchmarks.
  • Invoices are processed and paid within designated timeframes.
  • End-of-month reports are completed accurately and submitted on time.
