Your Impact

The Procurement Services Manager is a key player in the success of our growing ventures.  This individual manages and oversee all the procurement of Furniture, Fixtures and Equipment (FF&E), operating supplies and equipment (OS&E), and MRR related contracts for our hotels and restaurants.  In turn, the procurement and or contracting and monitoring of the products, materials, shipping costs/freight, warehousing and installation logistics will fall under this individual’s responsibility for all given projects unless specified otherwise.  The ideal candidate is one that understands the nuances in developing and maintaining Vendor and Manufacturing relationships while ensuring all products and deliverables are at the quality and compliance agreed upon and are installed to the documented design intent.

 

Your Responsibilities


Budget and Schedule Management:        

  • Manage and optimize budgets and schedules for FF&E (Furniture, Fixtures, and Equipment) and OSE (Operating Supplies and Equipment) items, ensuring cost-efficiency and timely completion.       
  • Successfully issue Requests for Quotation/Proposal (RFQ/P) for Regional and/or National property preventive maintenance (PM) and emergency maintenance service agreements. These agreements may cover maintenance, repairs, and other essential services for the properties operated by PHG.

Vendor and Manufacturer Collaboration:   

  • Collaborate with the third-party purchasing group on project purchasing, installation schedules, and logistics. ·       
  • Verify the scope of recommended manufacturers' operations and logistics to ensure reliability, safety, and efficiency.     
  • Identify, vet, and establish trade accounts and relationships with current and potential vendors and manufacturers, enhancing the project's resource pool and ensuring quality supplies.       
  • Develop and implement a supplier diversity program in partnership with all vendors and suppliers, promoting inclusive and varied sourcing. 

Project Communication and Decision-Making

  • Present manufacturer/vendor Bid Packages to the PHG & GLC Executive Project Team on schedule, transparently communicating any challenges. 
  • Provide strategic advice on changes in direction or partnerships when bid qualifications become challenging, maintaining project integrity and continuity. 

Quality Assurance and Coordination:

  • Analyze all samples and mock-ups for quality and specifications, ensuring the final product meets project leadership expectations. 
  • Oversee the model room's procurement, installation, and take-down, demonstrating effective project coordination and communication management. 
  • Ensure all vendor and manufacturer submittals meet deadlines, supporting the design team's timely approvals and project progression. 
  • Document all regulatory certifications, ensuring compliance and proper project documentation. 

Logistics and Delivery:

  • Create and track a detailed Master Delivery Schedule for procured items, aligning it with the Project Team's Design & Construction Schedule for streamlined coordination. 
  • Prepare a comprehensive Installation Handbook for the Project Team to facilitate smooth installation processes. 
  • Expedite all orders and merchandise movements to ensure timely delivery to predetermined locations, supporting project timelines. 
  • Ensure proper packaging and protection during shipment and installation. 
  • Oversee receiving inspections, inventory controls, and warehousing coordination, ensuring all services meet project requirements. 
  • Arrange for prompt inspection on all shipments to ensure received goods are in excellent condition and compliant with purchase orders.     
  • Resolve issues with damaged items by notifying suppliers and ensuring immediate remedies or replacements. 
  • Coordinate installation inspections (punch walk) with the Design Team, ensuring installations meet the original design intent or project management directives. 

 

Your Skills/Experience

  • Bachelor’s degree in Supply Chain Management, Business, Finance, Interior Design or related field is required.
  • 5+ years of experience in Hospitality Design and/or Supply Chain Management in the hospitality market.
  • Strong vendor management experience.
  • Experience with writing RFQ/P and bid management.
  • Exposure to developing Vendor/Manufacturing playbooks.
  • Familiarity working with third-party purchasing companies is preferred.
  • Proven ability to be flexible to lead, develop and collaborate with teams through change.
  • Proficient in excel, MS Projects, MS TEAMS, Planner and Restaurant 365 and digital tools that enable accurate purchasing and tracking of materials and goods.
  • Strong written and verbal communication using the tools, systems and resources provided.
  • Demonstrated track record of managing within approved budgets and deadlines.
  • Ability to managing challenges and conflicts with tact using creative strategies.
  • Ability to operate with confidentiality with all business-related information.
  • Must be willing to travel.
