Job Summary- Replacement Coordinator: 


The Replacement Coordinator ensures the efficient operation of clerical and administrative tasks within both the sales and installation departments while providing exceptional customer service. This role involves coordinating appointments, managing communication between clients and staff, maintaining organized records, and supporting various team members in both departments. 


Duties/Responsibilities- Replacement Coordinator: 

  • Schedule, confirm, and update sales and installation appointments with customers, dispatching relevant personnel as necessary. 
  • Coordinate communication between customers, sales staff, and field personnel. 
  • Create, maintain, and organize job folders for the Replacement department, scanning and storing all necessary paperwork. 
  • Process credit card payments for new installations and manage labor warranty purchases. 
  • Process and submit mechanical permits with the appropriate locality and manage installation-related documentation (e.g., equipment order forms, start-up forms, and warranty registrations). 
  • Input employee timesheet hours in Excel and in-house software for payroll processing. 
  • Compile, track, and report data through spreadsheets and other tracking systems. 
  • Provide support to field personnel, including assembling job packets and providing any required information. 
  • Collaborate with team members to ensure smooth departmental operations. 
  • Respond to and resolve inquiries from customers, offering excellent interpersonal and customer service. 
  • Perform other related duties as assigned. 

Required Skills/Abilities- Replacement Coordinator: 

  • Strong verbal and written communication skills, with an emphasis on customer service and interpersonal relations. 
  • Proficiency in Microsoft Office Suite and in-house operating software. 
  • Exceptional organizational skills and attention to detail. 
  • Basic understanding of clerical procedures, including recordkeeping and filing. 
  • Ability to work independently and maintain effective communication with team members and vendors. 


Qualifications- Replacement Coordinator

  • At least 18 years of age and have at minimum of three years of safe driving experience
  • Clean motor vehicle report, background check, and drug screening
  • High school diploma or equivalent
  • Authorized to work in the US for any employer
