TIME FRAME: This is a short term, seasonal position.
February 24 - March 7, 2025 (PART TIME)
March 10 - May 15, 2024 (FULL TIME)
POSITION SUMMARY: Collaborate with the HR Director and HR Administrator to fulfill personnel requirements for the New Orleans Jazz & Heritage Festival. The Human Resources Assistant, reporting to both the HR Director and HR Administrator, also provides support for volunteer operations when necessary.
ESSENTIAL FUNCTIONS:
Office Management:
- Warmly welcome applicants, volunteers, and office visitors.
- Process employment applications and resumes, conducting phone pre-screens, and coordinating interviews.
- Maintain orderly office supplies and ensure availability of standard documents (Postings, applications, new hire docs, etc.).
- Manage filing for Personnel and Volunteer Office files, Employee Application files, I-9’s, and Job Opening Binder.
- Answer office telephones, route messages, and return inquiry calls.
- Assist with daily volunteer operations, including data entry, Check-in and Check-out, perks distribution, etc.
- Aid in the coordination of moves to and from Fair Grounds, involving packing, labeling, and inventorying boxes.
Personnel:
- Support HR Director and HR Administrator in various HR functions.
- Review and process resumes in the applicant tracking system.
- Prepare routine applicant correspondence.
- Maintain applicant files and binders.
- Supervise applicant testing and assist in interview preparations.
- Conduct pre-screenings and interviews for event staff applicants.
- Support the processing of new hire paperwork and perform data entry.
REQUIREMENTS:
- Utilize the Absentee Request Form for accurate reporting of absenteeism to the Human Resources Office.
- Maintain confidentiality regarding sensitive issues.
- Attend and complete any required training.
- Surrender any document, computer program, design, or intellectual property created for the Jazz Festival to the Festival at the end of each production year or upon request.
- Complete all required Feedback Forms and Final Reports.
- Perform other work-related duties as assigned.
EDUCATION, EXPERIENCE & SKILLS REQUIRED:
- Excellent computer skills, particularly in Google Workspace, MS Word, Excel, and Access (helpful).
- Team player with strong interpersonal skills.
- Self-starter capable of working independently, troubleshooting, and problem-solving in a high-pressure production setting.
- Strong verbal, writing, and organizational skills with meticulous attention to detail.
- Experience in human resources and interviewing is a plus.
- Some light lifting is required.
- Ability to move quickly around the Fair Grounds.
