TIME FRAME: This is a short term, seasonal position.
April 9 to May 9, 2025
POSITION SUMMARY: Work closely with the Merchandising Director to oversee all aspects of two large drink concessions booths. Responsibilities include booth setup and breakdown, procurement and inventory management, daily operations, and supervision of booth staff.
ESSENTIAL FUNCTIONS:
Pre-Festival:
- Assist in planning drink operations.
- Collaborate on booth layout and organization.
- Set up booths, including equipment placement, inventory management, storage, and signage.
- Operate a utility golf cart with an attached trailer on fairgrounds.
- Purchase necessary equipment and procure product and soft goods required for vending.
- Assist in setting up an inventory control system for sales, waste, and cash reconciliation.
- Coordinate staff, including pre-event meetings.
- Complete and submit all purchase orders and check requests.
Show Days:
- Prepare booths for daily vending operations.
- Conduct and document daily inventories of product and soft goods.
- Ensure adherence to cash handling procedures by all staff members.
- Ensure smooth operation of the booth and timely service of drinks.
- Restock inventory and maintain a ready-to-serve product supply.
Between Weekends:
- Collaborate with the Strawberry Lemonade Production Assistant to conduct physical inventory checks and reorder goods if necessary.
- Record inventory and sales reports.
End of Festival:
- Conduct and document final inventory.
- Supervise cleanup, breakdown, and storage of equipment and soft goods.
- Arrange for the return of soft goods if applicable.
- Oversee donation of any leftover perishable products.
- Complete and submit all purchase orders and check requests.
- Record sales and prepare performance reports for submission to the Concessions Director.
REQUIREMENTS:
- Using the Absentee Request Form, it is the responsibility of each employee and their supervisor to accurately report their absenteeism to the Festival Finance Office.
- Maintain confidentiality regarding sensitive issues.
- Give any document, computer program, design, or other intellectual property created for the Jazz Festival (and, therefore, belonging to the Jazz Festival) to the Festival through your
- supervisor or department head at the end of each production year, or upon request.
- Attend and complete any required training.
- Complete all required Feedback Forms and Final Reports.
- Must attend and complete any required training.
- Perform all other work-related duties, as assigned.
EDUCATION, EXPERIENCE & SKILLS REQUIRED:
- Background in the food service industry is necessary, along with a solid understanding of Health Department regulations and Safe Food Handling practices.
- Proficiency in working with pressurized drink dispensing systems and general repairs is essential.
- Competency in computer applications such as Microsoft Word and Excel, as well as clerical, phone, and filing skills, is required.
- Strong supervisory and delegation skills are necessary.
- Problem-solving abilities are crucial for addressing operational challenges.
- Excellent organizational skills are a must.
- Comfort with numbers and charts is essential for inventory management and financial tracking.
- Ability to thrive in a high-pressure production environment with long hours is necessary.
- Capable of performing heavy lifting and working outdoors in all weather conditions.
- Willingness to climb ladders and move swiftly across the infield on foot.
- Possession of a valid driver's license is a plus.
