● Part-Time: January 15 – January 31, 2025

● Full-Time: February 1 – May 15, 2025


POSITION SUMMARY:

The Ticket Assistant will support the Sales & Ticketing Department with customer service, ticket sales, order fulfillment, event preparation, and on-site operations. This role demands strong organizational skills, adaptability, and a customer-focused attitude to ensure a smooth and efficient operation.


ESSENTIAL FUNCTIONS:


General Ticketing Support:

  • Assist with daily operations, including ticket sales, phone inquiries, account management, daily deposits, and order processing.
  • Process and package in-house ticket orders; coordinate delivery and pick-up logistics.
  • Respond to customer inquiries via phone and email regarding ticket details, order tracking, and event information.
  • Maintain up-to-date knowledge of all events to provide accurate guest support.

Administrative Duties:

  • Oversee the department calendar and schedule meetings.
  • Provide administrative assistance to the Department Director as needed.
  • Coordinate credential and office supply orders.

Event Preparation & Operations:

  • Support pre-event tasks, including office setup, furniture configuration, queue line setup, signage installation, and final walk-throughs.
  • Assist with on-site operations, including wristband distribution, box office oversight, and ticket scanning.
  • Help with event shutdown tasks, including site breakdown, reconciliation, and post-event reporting.

Post-Event Duties:

  • Conduct auditing, reconciliation, and preparation of recap reports.
  • Participate in planning and preparations for future events.

QUALIFICATIONS:


Experience:

  • Preferred: Experience in event coordination, box office operations, or familiarity with ticketing systems.
  • Proficiency in Google Workspace (Docs, Sheets, etc.), Microsoft Word, and Excel.

Skills:

  • Friendly, personable, and solution-oriented demeanor.
  • Strong problem-solving skills with the ability to take initiative.
  • Ability to thrive in high-stress, fast-paced production environments.
  • Experience working with the public and in collaborative team settings.

REQUIREMENTS:

  • Employees and their supervisors must accurately report absenteeism using the Absentee Request Form to the Festival Finance Office.
  • Maintain confidentiality regarding sensitive matters.
  • All intellectual property created for the Festival (e.g., documents, programs, designs) remains the property of the Jazz Festival and must be returned to the Festival at the end of the production year or upon request.
  • Complete all required Feedback Forms and Final Reports.
  • Perform other work-related duties as assigned.
