Conference Center Floor Manager

 

General Function:

 

This position is responsible for conference center events from event creation to post-event wrap up. Conference Center Floor Manager will have responsibility of Illinois Conference Center Attendant staff.  This highly visible role within the organization requires excellent management, organization, and public relations expertise as well as written and oral communication skills. The ideal candidate will have a thorough understanding of event set up needs and execution and process documentation and implementation.


  • Event Coverage and Execution throughout the ICC; plan set ups and tear downs for everything from weddings to large muti-day expos, to small business meetings.
  • Control an event from conception to clean up
  • Assist guest with food, entertainment, staff, and cleanup
  • Execute floor plans for events
  • Work with guest and A/V team for equipment setup
  • Make sure the event runs smoothly, efficiently and handle any crisis that may come up
  • Maintain general appearance of Conference Center rooms before, during and after event
  • Respond promptly and professionally to guest requests
  • Consults with clients to define meeting objectives; determines meeting and function space requirements. Capable of designation as facility Manager on Duty.
  • Provides leadership and directions to ICC staff; verify that staff are completing tasks in a timely manner and work with conference center COO/Director to maintain positive relationship with staff
  • Develops strong relationship with the catering provider for the facility, University Dining Services.
  • Ensures that ICC services are of exceptional quality and will learn and train staff to AAA 4-Diamond Standards. Manages the Conference schedule to maximize the use of dates, space and staff.
  • Reviews customer satisfaction evaluations and ensures that follows-up with clients are made after event for feedback; shares customer’s feedback with staff and recommends and implements changes to procedures and operations to improve level of customer services.
  • Be a consultant for COO/Director regarding issues in conference center that need attention
  • Work with conference center director to enforce precise excellence of customer service and look book standards
  • Work with suppliers, contractors, employees, wait staff and many other parties at the same time to provide services for events.
  • Attends departmental and other meetings as required
  • Maintain and control inventory for Conference Center event equipment and supplies.
  • Know and comply with company policies and procedures regarding safety, security, emergencies, and energy
  • May assist with other duties and departments as assigned by Conference Center COO/Director or General Manager
  • Set-up/Break down of all Conference Center equipment prior to and after functions
  • Maintain general appearance of Conference Center rooms
  • Keep in constant contact with Supervisor(s) regarding progress of event and special needs of guests
  • Pay attention to what is needed in preparation for the next day and set-up
  • Remove trash from all areas
  • Report to work on time and in complete uniform

Direction Received:

  • Reports to the I Operations General Manager and Conference Center COO/Director

Direction Given:

  • Direct supervision, scheduling, and evaluation of work as a first-line supervisor Conference Center Attendants and staff when acting as Manager On Duty.

 

 

Minimum Requirements:

  • Previous event planning experience
  • Previous supervisory experience
  • High level of commitment to exceptional customer service
  • Good organizational and time management skills
  • Brings a positive energy to workplace
  • Works well in a fast-paced high volume work environment
  • Excellent communication skills
  • Strong work ethic and attention to details
  • Flexible work schedule, available to work a variety of day/night and weekend shifts
  • Physical labor will be required. Must be able to lift 50lbs.
  • Previous Conference Center-related experience is not necessary.
