Inventory Coordinator

In addition to our team, our inventory is the greatest asset our store has. The Inventory Coordinator is responsible for actively managing this asset in partnership with supervisors, assistant store managers and floor associates. This role is a support role, helping the store to meet its sales goals by making sure the right product is on hand in the quantities shown on the computer and in the right place on the floor. 

The main responsibilities of this role are to work as part of a team managing inventory accuracy for the store. This is done by locating NEW and existing items on the floor as they are delivered weekly, tracking and counting items to maintain and improve inventory accuracy for the store, processing ACE truck returns on a weekly basis, disposing of defective, damaged and stolen merchandise in partnership with store management, cross training in receiving to provide support at critical times for the team. The store receives inventory through two main channels, ACE distribution centers and 3rd party shipments. The main inventory focus for this role is to manage the inventory delivered to the store through the ACE distribution centers. Another team is focused on the 3rd party orders. Occasionally the person in this position will be asked to help handle inventory issues from 3rd party vendors. 

This position will report directly to the Inventory Buying Manager. 

RESPONSIBILITIES AND EXPECTATIONS 

INVENTORY MANAGEMENT ON FLOOR – ACE ORDERS 

  • Maintain BIN tag labels on the retail sales floor for NEW items and Item Change Management (ICM) items ensuring seem less transition of on hand stock levels, and correct pricing 
  • Utilize negative report weekly to investigate negatives on hands and quantity discrepancies in inventory, communicate discrepancies to manager, identify root cause of issue to fix current issue and to correct going forward 
  • Properly tag items as directed by manager to include price changes, red hot buys, best sellers, clearance, seasonal, and NEW items 
  • Research, communicate and act on any outs in aisles as directed by manager 
  • Uphold merchandising and store cleanliness standards including ownership of aisle maintenance for assigned aisles 
  • Update pricing on like items to ensure consistency in sequences and relationships (ie change the price on one item in a sequence and ensure the entire sequence makes sense) 
  • Participate in store resets of sections based on ACE planograms (POGs), to include receipt of goods, organization of POG layout, ticketing and stocking 
  • Participate in store resets where no ACE POG exists, creatively merchandise non planogramed items into the assortment as directed 
  • Count, organize, update inventory & remove seasonal items from the floor for seasonal storage 
  • Assist with inventory issues related to 3rd Party drop shipments as directed 

SIGNAGE AND TICKETING 

  • Print BIN tags for NEW and existing items as needed 
  • Print and maintain interior and exterior signage for seasonal items 
  • Print signage for sale items, endcaps and promotional areas as needed daily 
  • Create signage for Pole Barn back stocked items and seasonally stored goods in trailers 

ITEM CHANGE MANAGEMENT (ICM) 

  • Utilize ICM reports to update BIN tags in store, print yellow replacement tags and put on shelves; make tags for new items, update locations for all ICM items 
  • Put of red tags for Closeout Management (COM) 
  • Remove red tags as items sell out 
  • Change STORE CLOSEOUT TAGS to Y when items are no longer to be ordered via ACE truck 

MANGO RESPONSIBILITIES: 

  • Execute monthly cycle counts with managers, supervisors, aisle owner and floor associates 
  • Research and investigate variances, update inventory based on cycle counts, change STORE CLOSEOUT flags as needed, monitor inventory flow on items with variances 
  • Update items identified in monthly reports to improve order flow and UPC code scanning accuracy 

DEFECTIVE/DAMAGED/STOLEN MERCHANDISE 

  • Partner with management to assess and process Policy A,B,Cs weekly through claims on Acenet 
  • Take photos, destroy or return to vendor, remove from inventory, dispose of per ACE process 
  • Keep backroom shelves for defectives, damaged and stolen merchandise clean and organized 
  • Proactively follow through with all requests for credit to ensure credit is received for goods, track status of outstanding credits report status weekly to manager 
  • Update inventory data base to remove items stolen from the store, identify high theft areas of the store to manager 

RECEIVING 

  • Assist team in putting out NEW product received on Wednesday and Friday ACE trucks 
  • Responsible for locating items in computer and identifying placement with BIN tag on store shelves as outlined by department assortments and ACE planograms 
  • Expedite NEW item merchandise to floor 
  • Expedite perishable goods to the floor when requested 
  • Cross trained to receive goods that are time sensitive and to be back up for receiving position when receiving person is out of the store 
  • Physically receive and organize items in greenhouse during the summer, ticket goods as needed 
  • Assist in ticketing holiday merchandise for Winter Wonderland set up 

STOCKING 

  • Maintain Clip Strip Planogram (POG) and stock all Clip Strips throughout the store 
  • Place NEW items on the floor, find places for backstock and locate in computer accordingly 

OTHER 

  • Participate in daily huddle meetings and team chores 
  • Assist team in executing daily priorities 
  • Assist with putting away truck 
  • Daily aisle maintenance 
  • Assist customers on the floor, as time permits, or during a HOT floor 
  • Training as directed 
  • Other necessary tasks as directed by Inventory Buying Manager and Owner 
  • Ability and willingness to work flexible hours including evenings, weekends and holidays to meet the needs of the business. A typical work week for this full-time position is Monday - Friday 8:00 am - 4:30 pm, but at times there is a need for flexibility with 30 minutes for lunch and 2, 10-minute breaks provided

MINIMUM REQUIREMENTS 

The minimum educational requirements for this position include: 

EDUCATION AND TRAINING: 

  • High School diploma or GED equivalent or current student 

EXPERIENCE: 

  • Previous experience in a retail environment 
  • Previous experience in inventory management preferred 
  • Experience in team situations 

SKILLS AND KNOWLEDGE: 

  • Proficient in email, MS Word and Excel 
  • Knowledge of retail computer systems / data base preferred 
  • A strong competency in attention to detail 
  • Ability to analyze and apply store operations standards as set forth by Country ACE Hardware 
  • A commitment to helpful service, excellence and customer satisfaction 
  • Solid team player with excellent interpersonal skills

PHYSICAL REQUIREMENTS: 

The minimum physical requirements for this position include but are not limited to: 

  • Must be in good physical condition and must work wisely 
  • Must be physically able to safely lift and handle a minimum of 50 lbs.

  • Ability to bend and twist, push and pull stoop, and kneel 
  • Ability to stand for extended periods of time
