The Office Administrator plays a key role in seeing that the daily office operations promote company growth by adding structure to each division of Complete Pool Care. Often, they are the customer’s first impression of our company and are responsible for ensuring a seamless continuity between the original customer call and completion of the services being provided. They utilize their personality, skill, and an exceptional level of organization to oversee customer relations, technician reporting, and company scheduling. Pre-planning and staying ahead of the future events are at the forefront of the Office Administrator position. The result of this position is the arrangement of duties so that customer expectations are exceeded, and information is relayed to the field divisions with precision allowing them to thrive.

Key Duties and Responsibilities:

  • Utilize our service management software to write work orders, schedule visits for service calls, review schedules, update pricing, track inventory, monitor field technicians daily progress, and pull reports
  • Process and respond to scheduling requests from customers, technicians, and subcontractors
  • Address customer needs and concerns over the phone to provide estimates, review work performed, set customer expectations, sign agreements, and/or pre-determine the services and components needed for a service call
  • Prepare our field technicians for each day and ensure they are pre-stocking and restocking job materials to perform tasks related to their schedule. 
  • Review work performed and the associated work orders for proper detail to ensure best record keeping practices and correct billing
  • Schedule material supplier product deliveries for our office and jobsites
  • File warranty claims with vendors and manufacturers
  • Perform related tasks as required
